Adding a Single Instrument

Overview

Adding a single instrument in GageMakkal for first time inolves two step process.  First adding mandatory fields and then adding more details specific to instrument.


Step 1: Adding an Instrument with Mandatory Details



  1. Go to Instrument menu on the left sidebar menu.

  2. You will be directed to the All Instruments page, displaying a list of existing instruments.

  3. Click the plus button (+) in the top right corner of the "All Instruments" page.

  4. A small Add Instrument form will appear on the right side.


Add Instrument Form

  1. Serial Number: Enter the serial number of the instrument or gage(e.g., SN 12345).

  2. Make: Select the manufacturer from the drop-down list.

    • If the manufacturer is not listed, click the plus sign (+) adjacent to the field to add a new manufacturer.

      • Enter the manufacturer's name and upload a logo if available.

      • Click "Save" to add the new manufacturer.

  3. Model: Select the model from the list.

    • If the model is not listed, click the plus sign (+) adjacent to the field to add a new model.

      • Enter the model name and upload an image if available.

      • Click "Save" to add the new model.

  4. Alias Name: The alias name is automatically generated by concatenating the serial number, make, and model.

    • Ensure the alias name of the instrument is unique within the organization.

  5. Team: Select the responsible team(s) from the drop-down list.

    • If the team is not listed, click the plus sign (+) adjacent to the field to add a new team.

      • Enter the team name and select team members.

      • Click "Save" to add the new team.

  6. Next Calibration Date: Select the next calibration date from the calendar.

  7. Alert Days: Specify the number of days before the calibration date when alerts should be sent to selected team members above.

  8. Critical Alert Days: Specify the number of days before the calibration date when alerts and critical alerts should be sent to selected team members above.

  9. Status: Toggle the status to switch this instrumebt to be active or inactive state.  Some instrument may be inactive but used only as Measure only functions and not in production.

  10. Click "Save" to add the instrument.

  11. Once saved, an "Add More Details" button will appear.  You can click this to go to next level of details for the instrument.


Step 2: Adding More Specific Details



Accessing the Edit Page

  1. Click Add More Details:

    • This will take you to the edit page of the instrument where you can add additional details.

Fill in Additional Fields

  1. Asset ID:  Enter the asset ID or number used in your industry.

  2. Instrument Cluster:  Group the instrument based on different categories (e.g., specific place, team, test lab, production line).

    • Click the plus sign (+) to add a new cluster if needed.


      • Enter the Cluster name and keep Always Available.

      • Click "Save" to add the new team.

  3. Calibration Lead Time: Set the lead time in hours or days that usually takes calibration.  This could include your logistics and actual calibration time so that this factors in when alerts are sent.

  4. Calibration Status:  Indicates whether the instrument is calibrated, not calibrated, or in progress.

  5. Calibration Frequency:  Set the frequency for recalibration (e.g., annually, every few months).

    1. Enter days and select Days or Months or Years

  6. Calibration Based on Usage: Use if you need to count the maximum number of usage days per calibration. 

    1. Max Usage Days Per Calibration: Maximum number of days to be counted as used beofore calibration.

    2. Alert Begins At: Specify the number of days before the calibration counted days and critical alert days at which you want to get normal alert.  Alerts are sent to the selected team members above.

    3. Critical Alert Begins At: Specify the number of days before the calibration counted days at which you want to get critical alerts.  Alerts are sent to the selected team members above.

  7. Required Instruments to Calibrate:  Add any dependent instruments or standard instrument required in order for this instrument to calibrate.  Add a dependency group for this purpose.

  8. Calibration Procedure:  Upload documents (PDFs, images or any documents) that helps in the process of calibrating this instrument.

  9. Calibration Certificate Template:  Upload templates for calibration certificates that calibrator can use for uploading.

  10. History:  Add calibration certificate if you have for this instrument.  Following certificates would be automatically added here after calibration is approved by an approver.

  11. Comments: Comments are recommended evereytime an instrument is edited and it's listed here with time/date and user who made the change.

  12. Click "Update" to save all changes.  You may need to enter comment for this change to record in comment history.

By following these steps, you can efficiently add instruments to your system, ensuring all necessary information is captured accurately. This method ensures that both basic and detailed information is logged for each instrument, facilitating easy tracking and management.
